Kaufland.de Registration

Good Monday!
Trying to register on Kaufland.de
Got all the documents possible, but one left me puzzled, and because of it account is still not registered.
I am US-based business, registesred in the US (although I do have German VAT and Europian IBAN)
The document in question:
Your company details and/or documents were saved in your seller account. However, we cannot activate the account yet because the following information is still required:

  • Current document from the US authorities showing the official business address and the company representatives: not older than four weeks.

When I asked them what is the name of this document (I provided. ton of different ones, all “wrong” for them", including utility bill with my name on it, I got this reply:
The document should be similar to the extract from the commercial register. The company name, address and company representatives must be shown on it and it should not be older than 4 weeks.

What do they want and where to get it?

Hello @Mirabella,

thank you for posting here. I am happy to see that you are trying new marketplaces. Kaufland is a very good choice.

Basically, in Europe we have extracts from the trade registry. In the United States, this should be the Memorandum / Statuses / Articles of association.

I hope this helps. Please feel free to post here whenever you need help.

No, I submitted it but they keep asking for no more than 4 weeks old government-issued document…

Yes, this is understood. The KYC laws dictate, that the document needs to be a recent one.

Would you be able to contact your registered agent to request a more recent copy?

I am aware that in the United States, you have one document and they won’t give you an extract from the trade registry showing a recent date.

I know that a lot of people are providing certificates of good standing, which would have the recent date.

I did provide certificate of a good standing, the newest one. Yet it’s not what they want as it doesn’t have shareholders name and address.
I provided the newest article too, like three days old - still no. They are asking “government issued”. But our government doesn’t issue anything besides cert of good standing which costs money to get.

Is this open to sellers from any country? Do they allow dropshipping?

Kaufland is a German marketplace. It can be a lot of pain to explain them that there are countries which don’t issue these trade registry certificates by the government authority.

Could you post here any of the latest rejection communication which you received, so I can figure it out?

I have quite a lot of experience with verifications of various entities on different platforms.

I posted the latest reply when started this topic. As I’m lost what to send them, I didn’t send anything else to them in last few days.

Okay, I see.

Yes, they will always ask for the shares allotment document as well. Would you be able to get any recent shares certificate from your agent who registered the company for you?

I provided shares allotment at very first round of submitting docs. I was selling on Amazon for so long, I have all the docs plus extra, and all of them always new or I can get them new quickly:)))

Try putting all of the documents into a single PDF. Articles of association, share allotment document, certificate of good standing.

Have you tried contacting them by phone and explaining that you gave them all documents that are available and that you have a company based in the US, so they need to give you the names of the documents which they need?

This used to be a major problem with Amazon as well, in the past. Now, they will give you the exact list of each documents for each country and business type. However, in the past, when you had a sole proprietorship in Slovakia, they didn’t even know what it was and what documents are available. It is a new marketplace and it will take them some time to figure out everything.

Ok, I just got registered!!!
Apparently, for US-based business it’s a once in a year opportunity
We file an annual report once a year with Secretary of State. Kaufland accepted this new report, it matches all what they ask. But, they ask it to be not 4 weeks old. Report filed once a year. So…
Anyway, they sent to me a welcome to Kaufman letter.
I did it!!!
