Amz Seller Account deactivated due to Product Quality Complaint

Hi Respected Members,

Thank You Kika for this amazing forum.

My Amz seller account was deactivated due to product complaint by a customer on 3rd January, 25.
I sourced products from Doba & 9th Perfumes Inc. abd sold through Doba by getting their fulfillment services.

I appealed multiple times but always rejected. I have shared my email communication with Brand Nina Ricci regaeding authenticity check of 9th Perfumes Inc where they are saying that they are our authorised retailer in USA.

Now Amazon is asking me to provide supply chain (Supplier’s Supplier Invoices) which are impossible to get from these Business and they denied it too to provide.

Please guide how can i convince Amazon for future supplier invoices and documents.

Thank You

Amazon generally does not accept letters or email confirmations from brands as a substitute for invoices, so your challenge is that Doba and 9th Perfumes are middlemen and cannot provide the upstream documentation Amazon is demanding.

Since Amazon wants a clear supply chain with invoices directly from the brand or an authorized distributor, you may not be able to reinstate this account unless you can switch to suppliers who can issue compliant invoices.

For now, your best approach is to prepare a Plan of Action acknowledging the gap, explain that these suppliers do not provide upstream invoices, and commit to sourcing only from authorized distributors or wholesalers who can provide full documentation moving forward.

This shows Amazon that you understand the compliance issue and have a concrete plan to avoid it in the future, which is the only way to convince them to reinstate your account.

Thank you @ecomwithumair for your valuable suggestions. I have established authorised relationship with directly a manufacturer in other product category and going to write a proper plan of action along with this new supplier sales order and invoice and they have also issued us a letter of authorization because we are working with them from last 3 years.

So please can you advise, I should write a plan of action on a point “Why i can not provide upstream invoices or supply chain documents” and What actions i have taken for this qnd how am i going to prevent this issue moving forward and will also write for new supplier final invoices to show my compliance to Amazon policies.

Please give some tips regarding plan of action as well.

Thank You

Hello @Tafheem_786,

thank you for joining. I am so sorry to hear that your account has been deactivated over a single Customer Product Condition Complaint.

This is very rare to hear, normally they come with the option to acknowledge them.

How old was your account? Did you have any other products? How many orders you processed? Was this a customer complaint?

Generally, it’s a very bad idea to sell big brands as a newbie. Yes, Amazon will ask for supplier’s supplier’s invoices which is impossible to accomplish.

Hi @Kika Thank you for reply,

Yes they deactivated account due to one authenticity complaint for quality concerns, customer received product in damaged condition.

My Amz seller account is 8 years old and yes we were also selling our registered Brand products as PL for the ASIN under review we sold 109 orders.

Yes we are unable to provide Supply chain documents.

What are your options for appealing? Could you post a screenshot?

Thank you @Kika for follow up, I am attaching requirements of Amazon when i click reactivate my account button by accepting policy violation.

In this situation Amazon is treating the customer complaint as an authenticity issue because they want to see a clear supply chain, and without invoices or documentation they will almost always keep the account deactivated.

Since you sold over 100 units and already have a long-standing account, your best option is to draft a strong Plan of Action where you acknowledge the damaged unit, explain that it was an isolated quality concern, and outline corrective steps such as enhanced packaging, more thorough quality control, and a commitment to source only from suppliers who can provide verifiable invoices in the future.

You should also emphasize your eight years of compliant selling history and the fact that you own a registered brand, which shows you are a legitimate seller. Even though you cannot provide supply chain documents for this ASIN, focusing on preventive measures and future compliance sometimes persuades Amazon to reinstate the account.

Thank you @Muhammad, I am drafting a plan of action and will share in this post asap for experts review.

But there were no other options only a Plan of Action?

Says you already completed some prior steps.

There was the Submission choice.

Can you go back?

Hi @usman786, There were two options:

  1. I accept policy violation
  2. Deactivation is in error, I will provide justification like that.

So I already chose option 1.

Thank you for contribution, I am drafting a plan of action and today will share here for experts review.
